1. WHO WE ARE AND WHAT WE DO
Aligned XD is a Georgia-based AI automation agency that builds and manages AI-powered voice agents, SMS and email automation, CRM systems, appointment scheduling, and website and funnel infrastructure for small businesses and service-based practices. We operate primarily through GoHighLevel (GHL), a white-labeled platform accessible to our clients at app.alignedxd.com, and integrate with third-party tools including Retell AI, Stripe, and Twilio.
Our services include but are not limited to:
- AI voice agent design and deployment (powered by Retell AI)
- SMS and email automation workflows
- CRM setup and contact management
- Appointment scheduling and calendar integration

2. INFORMATION WE COLLECT

When you contact us, request a demo, or become a client, we may collect:
- Full name and business name
- Email address and phone number (mobile and/or business)
- Business address and website URL
- Business type and industry
- Payment information (processed securely through GHL Payments and/or Stripe — we do not store raw card data)
- Communications you send us via email, phone, or web forms
- Contract and agreement information

When you or your team access the Aligned XD client portal, we collect:
- Login credentials and access logs
- Actions taken within the platform (workflow activity, contact interactions, message history)
- Device type, browser type, and IP address
- Session duration and feature usage
— Information We Process on Your Behalf —
As part of delivering our services, we configure and manage systems that process data belonging to your customers and contacts. This includes:
- Contact names, phone numbers, and email addresses entered into your CRM
- Appointment history and scheduling data
- SMS and email interaction logs
- Call recordings and AI voice interaction transcripts (where applicable)
This data is processed by Aligned XD as a service provider acting on your behalf. You, as our client, remain the data controller for your customers’ information.

- Deliver and manage the services described in your client agreement
- Set up and configure your GHL sub-account and associated tools
- Communicate with you about your account, service updates, and billing
- Send SMS messages and emails to you with your consent (see Sections 4 and 5)
- Process payments for services rendered
- Respond to inquiries, support requests, and feedback
- Improve our platform, workflows, and service quality
- Comply with legal, regulatory, and contractual obligations
- Protect against fraud, unauthorized access, and misuse of our systems
We do not sell your personal information to third parties. We do not use your information for targeted advertising.

4. SMS / TEXT MESSAGE COMMUNICATIONS
Aligned XD may send SMS text messages to clients and prospective clients who have provided explicit consent to receive them. Our SMS program operates in compliance with the Telephone Consumer Protection Act (TCPA), CTIA Messaging Principles, and A2P 10DLC carrier registration requirements.

We will only send you SMS messages if you have explicitly opted in through one of the following:
- Submitting a web form on our website where SMS consent is disclosed
- Verbally consenting during a phone or discovery call
- Checking an opt-in box during onboarding or agreement signing
Consent to receive SMS is not a condition of purchasing or receiving our services.

SMS messages from Aligned XD may include:
- Onboarding instructions and setup updates
- Service alerts and platform notifications
- Responses to inquiries you initiate via text
- Appointment or meeting reminders
- Billing notifications
We do not send unsolicited promotional messages via SMS. Any marketing communications require separate, explicit opt-in.
— Message Frequency —
Message frequency varies. Most clients receive between 1 and 8 messages per month depending on project phase and activity level.
— Message and Data Rates —
Standard message and data rates may apply depending on your carrier and plan. Aligned XD does not charge for SMS communications.
— How to Opt Out —
Reply STOP to any message to immediately unsubscribe. You will receive one final confirmation and no further messages will be sent.
Reply CANCEL or UNSUBSCRIBE — same result as STOP.
Reply HELP to receive our contact information and support options.
Reply START to re-subscribe after opting out.
You may also contact us directly to request removal.
Opt-out requests are processed within 24 hours.
— SMS Data Privacy —
We do not sell, share, lease, or rent your mobile phone number or SMS opt-in data to any third party for marketing or advertising purposes under any circumstances. This applies to all affiliate, partner, and vendor relationships.

5. EMAIL COMMUNICATIONS
We may send you emails related to your account, services, onboarding, billing, and updates. You may receive occasional emails about new services or resources if you have opted in.
You may unsubscribe from non-transactional emails at any time by clicking the unsubscribe link in any email or contacting us directly. Transactional emails related to your active account and billing cannot be opted out of while your account is active.
We comply with the CAN-SPAM Act. All marketing emails include a physical mailing address and a clear unsubscribe mechanism.

6. CLIENT PORTAL (app.alignedxd.com)
Our client portal is powered by GoHighLevel (GHL), a white-labeled platform managed by Aligned XD. When you access app.alignedxd.com:
- Your login credentials are secured by GHL’s authentication systems
- All data within the portal is stored on GHL’s servers, which are SOC 2 compliant
- Aligned XD has agency-level access to all sub-accounts for configuration and support purposes
- Activity within the portal (contacts created, workflows triggered, messages sent) is logged and may be reviewed by Aligned XD for quality assurance and troubleshooting
By using the client portal, you acknowledge that Aligned XD has administrative access to your account as your designated platform manager. This access is used solely to deliver the services you have engaged us to provide.

7. PAYMENT PROCESSING
Aligned XD collects payments through GoHighLevel Payments and Stripe. Both are PCI-DSS compliant payment processors.
- We do not store your full credit card number, CVV, or banking credentials on our own systems
- Payment data is tokenized and handled entirely by GHL Payments and/or Stripe
- By providing payment information, you agree to the applicable terms of GHL Payments and Stripe
- Billing records including invoice history and transaction amounts are retained for accounting and legal compliance purposes

8. THIRD-PARTY SERVICE PROVIDERS
To deliver our services, we work with the following third-party platforms. Each has its own privacy and security practices:
- GoHighLevel (GHL) — CRM, automation, and client portal platform
- Retell AI — AI voice agent infrastructure for call handling
- Twilio — SMS and telephony delivery infrastructure
- Stripe — Payment processing
- Google Calendar / Google Workspace — Scheduling and productivity
- Pipedream or Make / Zapier — Workflow automation and integrations
These providers act as data processors under our direction. We have data processing agreements or use standard contractual protections with applicable vendors. We do not authorize any third-party provider to use your data for their own marketing purposes.

9. DATA SHARING AND DISCLOSURE
We do not sell personal information. We may share information only in the following circumstances:

- With payment processors to complete billing transactions

No mobile phone numbers or SMS opt-in data are shared with third parties for marketing purposes under any circumstances.

10. DATA SECURITY
Aligned XD takes data security seriously. We implement the following protections:
- All data transmitted through our platform uses TLS/SSL encryption
- Client portal access is protected by password authentication and role-based permissions
- We limit internal access to client data on a need-to-know basis
- Our underlying platform (GHL) is SOC 2 Type II compliant
- We conduct periodic reviews of our security practices and vendor relationships
No system is completely immune to breach. In the event of a security incident affecting your data, we will notify you as required by applicable law.

11. DATA RETENTION
We retain personal information for as long as necessary to:
- Fulfill the services described in your client agreement
- Comply with legal, regulatory, and accounting requirements
- Resolve disputes and enforce agreements
Client account data is retained for the duration of your engagement with Aligned XD and for up to 3 years after termination, unless a shorter or longer period is required by law. SMS opt-in and opt-out records are retained indefinitely to document consent history for TCPA compliance. Payment records are retained for a minimum of 7 years for accounting purposes.
Upon written request, we will delete personal information that is no longer required, subject to legal retention obligations.

Depending on applicable law, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate or outdated information
- Request deletion of your personal information (subject to retention requirements)
